VOLUNTEERS NEEDED

VOLUNTEER ROLES & RESPONSIBILITIES

Administrative Support | Volunteer(s) utilize office skills/talents such as data entry, answering phones, and managing email correspondence. Is proficient in Google & Microsoft suite. Supports keeping the calendar and appointments on track, and supports the CLS senior leadership team.  

 

Audio/Visual & Technology Technician | Volunteer(s) will help to manage the microphone, speakers, music playlists, internet access for devices, lighting, and other technological support in order to ensure that the equipment is functioning at top quality. 

 

Event Coordinating & Managing | Volunteer(s) manage performers, speakers, artists, educators, or presenters' schedules, coordinating transportation, lodging, or event logistics. Support the staff, crew, vendors, volunteers, leaders, etc. May support setup and breakdown, final venue sweeps, and during event logistics like: ensuring the stage is ready, and that equipment is functioning properly (i.e., mic checks). Organizing and executing various events, such as charity runs, fundraising galas, and community festivals

 

Event Operations & Logistics | Volunteer(s) are involved with the detailed planning, coordination, and execution of all physical and technical elements necessary for a successful event. It covers venue management (i.e., rules, expectations, restrictions), vendor sourcing (i.e., calling to ensure timely deliveries, arrivals, etc.), transport, AV setup (audio/visual equipment), staffing, and risk management to ensure a seamless, on-time experience from setup to breakdown. Ensure rooms and practice areas have refreshments, meals, and drinks.

 

Event Setup & Breakdown Team | Volunteer(s) will lay out tables, chairs, build tents, pop-up banners, posters, and set up event areas with decor or marketing items. Hanging decorations and signage, unpacking and setting up equipment, and preparing the event environment. After the event, many hands are required to disassemble stages and other structures, pack up equipment, clean up the festival grounds, and load and unload vehicles & trucks. Organizing and inventorying equipment and materials before and after the event. 

 

Financial Management | Volunteer(s) display financial management skills to help with budgeting, bookkeeping, and financial reporting for accountability, grant requirements, annual reports, & sponsor/donor follow-up kits. 

 

Fundraising Support | Volunteer(s) develop and execute fundraising efforts such as grant writing, donation solicitation, and crowdfunding campaigns. 

 

Graphic Design (i.e., content creation) | Volunteer(s) will utilize graphic design and creative skills to create marketing materials, promotional videos, and other content. Will ensure to respect copyright guidelines and platform rules, regulations, terms, and conditions. 

 

Hospitality (Client/Customer Care & Quality Assurance) | Volunteer(s) will manage indoor or outdoor entry and exit flow, controlling the crowd, managing the VIP or special entry guests, or entry lines. Directing parking, managing lost and found, and guiding program attendees to designated stage areas and backstage areas. Helping to resolve or de-escalate any issues or concerns that may arise. They transport items from one event place to another and run basic errands to keep the team focused and productive (i.e., on mission). The hospitality role may include, but is not limited to, being a greeter, floater, runner, or usher.

 

Leadership & Team Supervision | Volunteer(s) are responsible for implementing strategies across all teams in order to make the event function.  Guiding, recruiting, and providing direction for coordinators, managers, directors, and volunteers to keep them engaged.

 

Legal Support | Volunteer(s) will utilize human resources or legal skills to help with legal research, advocacy, representation, and/or advise event decisions, approaches, and liability observation. Utilizes the SWOT analysis and other strategies to minimize conflict or potential issue, thus enhancing the safety and satisfaction of the experience.  

 

Marketing & Social Media Support | Volunteer(s) will post on social media and engage the organizational audiences, and enhance the viewership and subscriptions to Facebook, Instagram, YouTube, Linkedin and other social media platforms. Create video shorts that will intrigue new viewers to join the CLS website and channels. 

 

Master of Ceremony (MC), Stage/Program Host | Volunteer(s) will manage the flow of the event performances, speakers, and event participants that will present on the main stage. This role includes presenting and introducing speakers/performers, engaging the audience, promoting the vendors and sponsors, having fillers in the event of an emergency, and/or if the event program is delayed. 

 

Photographer or Videographer | Volunteers will capture the moments. There is only one chance to do so!. Take a detailed amount of event pictures (i.e., a photo journal that tells the full story), capture video clips for future marketing promotions, and capture candids. Photos and videos should include different angles and a variety of pleasant event expressions. Ensure images are flattering for the clients and the CLS team. 

 

Registration & Sign-In | Volunteer(s) will provide a friendly, supportive facial demeanor and energy. Help attendees with event sign-in, purchasing tickets, checking tickets at the entrance or registration table, and providing information about the event (i.e., program distribution schedule). Manages scanning and verifying tickets. Distributes organizational swag bags, folders, and materials.  

 

Sales & Merchandise Purchase | Volunteer(s) will help to sell organizational books, t-shirts, bags, pens, journals, water bottles, posters, CLS services, programs, and other merchandise. These helpers have excellent people skills and are accurate and proficient in managing cash box & registers, online financial platforms, and other apps to complete purchases. The use of the internet, tablets, and online purchase hubs.   


Security & First Aid | Volunteer(s) serve as a first responder to aid in critical matters. They hold de-escalation skills, how to utilize first aid equipment, administer first aid, and provide a visible presence to deter potential problems. They may check bags, enforce policies such as no smoking, weapons, or alcohol, and can resolve client or staff issues quickly and discreetly. Proficient in verbal, emotional, and physical de-escalation skills.
